The purpose of this job is to process employee data, update company policies and assist in the hiring process. To be successful in this role, you should have solid organizational skills and be familiar with HR functions.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Maintaining physical and digital personnel records like employment contracts, personal files etc.
- Update internal databases with new hire information.
- Create and distribute guidelines and FAQ documents about company policies.
- Gather payroll data like bank accounts, social security numbers, Tpins etc.
- Publish and remove job adverts.
- Schedule job interviews and contact candidates as needed.
- Prepare reports and presentations on HR- related metrics like total number of hires by department.
- Develop training metrics and on boarding material.
- Respond to employees’ questions about benefits (for example, number of vacation days they are eligible for) also come up with an annual leave plan.
- QMS Responsibilities
- Ensure the quality of work
- Operate in conformance with the requirements of the QMS
- Coordinating all QMS activities.
- Make appropriate notification when requirements are not being met
- Make suggestions for improvement.
- Any other work as may be assigned by supervisor, Managers, Consultants.
OTHER RESPONSIBILIES
Responsible for Institute assets and all resources under the job holder.
JOB SPECIFICIFACTIONS, WORKING SKILLS AND COMPETENCES
- Minimum level of education: Bachelor of Arts in Human Resources Management or relevant field.
- Professional knowledge: good knowledge of labour legislation.
- Minimum experience: work experience as an HR & Administrative Officer, HR
- Administrative Assistant or similar roll for 3 years.
- Familiar with Human Resource requirements in an Institution
- Must be a member of ZIHRM
- Good verbal and written communication skills.
Other Skills/Attributes
- Proficiency in MS Word, MS Excel and MS Outlook, knowledge of operating standard of office equipment
- Ability to write comprehensive reports
